Karate Athlete A.I. ("we", "us", "our") operates a video review platform that helps karate athletes, coaches, clubs and federations analyse kata and kumite performances and receive AI-assisted feedback and training plans.

• Account data: name, email address, and role (athlete, coach, federation admin).
• Profile data: age category, belt grade, gender, weight, competition level, and country — used to calibrate reviews and competition readiness.
• Video data: performance videos you upload for review. These are stored securely and deleted after a defined retention period.
• Payment data: processed by Stripe; we do not store card details. We retain purchase records (tier, credits, transaction ID) for account management.
• Training diary data: session logs, competition calendar entries, and drill tracker data you create.
• Usage data: anonymised analytics about how the app is used to improve the service.

• To generate AI-assisted performance reports and training plans from your uploaded videos.
• To allow assigned coaches and federation/club admins to review and score your performances.
• To track your progress, competition readiness, and training diary entries.
• To process payments and manage your access tier and review credits.
• To send notifications when reviews are ready or competitions are approaching.
• To comply with legal obligations.

We take the safeguarding of athletes — especially minors — seriously. Video uploads are subject to the following protections:

• Videos are only processed after explicit consent is given at the point of submission.
• Videos are stored with access controls — only the athlete, their assigned coach, and authorised federation/club admins can view them.
• Videos are never shared publicly or used for marketing without separate, explicit consent.
• Videos are deleted after a defined retention period unless the athlete requests earlier deletion.
• AI analysis is conducted on secure infrastructure and the video data is not used to train external models.

• Consent: video uploads, AI report generation, and marketing communications.
• Contract: processing purchases, delivering reports, and managing your account.
• Legitimate interests: analytics, service improvement, and fraud prevention.
• Legal obligation: record-keeping for financial transactions.

We do not sell your data. We share data only with:

• Stripe — for payment processing.
• AI providers — video and performance data is sent to our AI analysis provider to generate reports. Data is processed under their terms and not retained for model training.
• Your coach or federation — if you are part of a club or federation plan, your assigned coach and federation/club admins can access your reviews and profile.
• Legal authorities — if required by law.

Video files are retained while your account is active and for a limited period after, to allow for review completion. You can request deletion of your videos and account at any time via the in-app account deletion tool or by contacting us.

Non-video data (purchase records, training diary) is retained for the life of your account. Purchase records are kept for legal/financial record-keeping.

Under GDPR and UK GDPR, you have the right to:

• Access your personal data.
• Rectify inaccurate data.
• Erasure ("right to be forgotten").
• Restrict or object to processing.
• Data portability.
• Withdraw consent at any time.

Your data may be processed outside the UK/EEA (e.g. by our AI and payment providers). We use providers with appropriate safeguards in place, including Standard Contractual Clauses where required.

The platform is used by athletes under 18. We process children's data only with the consent of a parent or guardian, who must agree to the consent checkboxes at the point of video submission. Parents may access, rectify, or delete their child's data at any time.

We use industry-standard measures including encrypted data transmission (TLS), access controls, and role-based permissions. Access to video data is restricted to authorised coaches and admins. No method of transmission or storage is 100% secure, but we work to protect your data using commercially acceptable means.

We may update this policy from time to time. We will notify users of significant changes via the app or email.
